Short answer
First tell dispatch whether the passenger can move into an ordinary vehicle seat or needs occupied-wheelchair transport. Send equipment measurements and the practical assistance needed, then obtain explicit written acceptance. Standard, VIP or van labels do not confirm accessibility, and this website does not promise a ramp or lift vehicle.
Describe boarding and seating rather than a diagnosis
Explain whether steps are manageable, whether a transfer to a vehicle seat is possible and whether a companion can assist. A low car, tall SUV and van present different entry heights. Provide what helps plan the journey without sending unnecessary medical history.
If the passenger must stay in the wheelchair, ask specifically for suitable occupied-wheelchair transport, access and restraints. That is a distinct vehicle requirement, not an adjustment to assume on arrival. Do not finalize a journey based on an unconfirmed ramp or lift arrangement.
Check equipment dimensions and who will handle it
Send width, length, height and weight, whether it folds and the folded size where relevant. Include detachable parts and other luggage. The accepted vehicle must accommodate both the passenger arrangement and the entire equipment load.
For powered devices, discuss loading weight and handling with the road provider and check airline carriage separately. Airline acceptance does not establish car compatibility. Confirm who will load the device and what assistance is available rather than assuming it is covered by a vehicle category.
Connect airline assistance to a verified vehicle meeting
Request airport assistance through the airline before travel and ask where it ends. Give dispatch the flight and agreed handover point. Keep assistance staff and dispatch informed if arrival arrangements change so the passenger is not left searching for the vehicle.
Describe difficulties with a long walk, standing wait or exposed meeting point. Save contacts offline and keep a companion or coordinator reachable. Check arrival and departure separately; the same assistance or entrance should not be assumed in both directions.
Confirm the last entrance and the long-road needs too
Supply the actually accessible entrance, not only a postal address. Ask the property about steps, ramps, lifts and distance from vehicle to reception. For a villa, establish gate opening and the surface between unloading and the room.
A suitable car is only one link. Discuss rest stops and the return pickup entrance before accepting. If the required equipment or assistance cannot be confirmed, seek a provider that explicitly meets those needs instead of relying on improvisation.
Frequently asked questions
Does VIP confirm a wheelchair-accessible vehicle?
No. Obtain written acceptance for boarding, seating, equipment and any occupied-wheelchair requirement. A product label does not establish a ramp, lift or restraint system.
