Eligible local 7–14-passenger van supplements are USD 20 Standard or USD 40 VIP added once to the chosen zone/product; long-distance vans need a separate quote. Send every person, bag, seat need and arriving flight so dispatch can confirm whether one vehicle or several are appropriate.
Make one manifest that includes equipment as well as passengers
Use one booking contact to count adults and children, checked and cabin bags, strollers and bulky items separately. Explain whether ordinary vehicle seats are usable or special access is required. Dispatch needs practical boarding information, not unrelated private medical records.
Describe each golf case, surfboard or non-folding mobility device with measurements or a useful photo. One bag can mean very different shapes. Obtain acceptance for the complete group and equipment without assuming spare passenger seats solve loading.
Apply the local supplement once, only where eligible
The supplement belongs to the vehicle arrangement, not each traveller. For a Zona Colonial Standard one-way example, USD 35 plus USD 20 gives USD 55. This calculation does not confirm capacity; luggage and seat requirements still have to fit the accepted vehicle.
Do not carry that local formula into long-distance journeys. Ask for a written group quote specifying one van or several vehicles, the return arrangement and any extra destination. Confirm the complete service rather than assuming a category name settles those details.
Agree what happens when group members land separately
Give every flight and local date, then decide whether early arrivals wait or leave independently. A pickup assigned to one flight is not an unlimited reservation for later arrivals. Discuss the waiting plan and any charge before travelling.
Nominate one lead for each arriving party and send changes through the original booking conversation, identifying the affected people and flight. Several parallel instructions can leave conflicting headcounts; one accepted plan is easier to verify at the vehicle.
Confirm every entrance and assemble before pickup
List each hotel or villa with its actual gate instructions. Ask whether a second drop-off changes zone or fare. Verify driver, vehicle and passenger list before handing over bags and check the loading plan at departure.
For the return, arrange an earlier group assembly time if guests occupy several rooms. Be ready at the confirmed entrance before loading begins. The flight departure is a deadline for the airline, not the time your group should leave the hotel.
