Make a dated flight-by-flight transport list with a lead contact, hotel, people, bags and child-seat needs for each group. Choose one coordinator to authorize changes. Treat the arrival, ceremony shuttle, evening return and flight home as distinct services; an airport reservation does not retain a vehicle for the event.
Build a list that guests and dispatch can both use
For every arrival record the local date, flight, lead passenger and working phone, destination, people and bags. Add mobility requirements, oversized luggage and children needing seats. Passport scans and unrelated guest records are unnecessary when travel-coordination details identify the group.
Have one organizer keep the list current and approve changes, then forward each group's accepted meeting instructions to its lead passenger. A confirmation held only by the wedding planner is little help to guests standing in arrivals without the contact or vehicle arrangement.
Decide the waiting policy before combining flights
Two flights in one vehicle need an explicit agreement about waiting. A delay can hold the first group, and even passengers on one flight may clear formalities at different times. Compare separate pickups when independent departures matter more than consolidating the ride.
Match vehicles to bags as well as seats. Formal clothing, decorations and event equipment can use space not apparent from the guest count. Send those items with dimensions or descriptions so dispatch can confirm the loading arrangement instead of filling every seat by assumption.
Give event runs and departure flights their own plan
For ceremony or party transport, identify each venue, loading point, pickup window and number of trips. Ask how extra runs or a late finish are handled. Airport transport does not imply that the same driver waits through an evening celebration.
For the flight home, calculate each group's pickup from its airline's required arrival time and road allowance. Different flights may need separate vehicles. Update the transport list after final flight changes instead of assuming the first guest schedule still applies.
